SolidCal Privacy Notice

This privacy notice for SolidCal, Inc. (“SolidCal”, “we”, or “us”) explains how and why we collect, store, use, and process personal data in connection with the SolidCal experience offered on our Website and Services. Any capitalized term that is not defined here has the meaning assigned in our Terms of Use, our End User License Agreement, or our Data Processing Addendum.

By continuing to use the SolidCal tools provided by SolidCal, you acknowledge that you have read this notice and consent to the practices it describes. If you do not agree, you should stop using the Services and contact us for assistance.

Key Terms

Throughout this notice we reference the following roles and products:

  • The SolidCal website (the “Website” or the “Services”) refers to all scheduling tools, software, plug-ins, and browser extensions (including SolidCal for Chrome) that SolidCal makes available.
  • “Users” are people who have registered for a SolidCal-powered SolidCal account.
  • “Schedulers” are individuals who book a meeting with a User but may not maintain an account of their own.
  • “Viewers” are visitors who interact with the Website without becoming a User or Scheduler.

How We Collect Information

We collect information that you voluntarily provide when registering as a User, using SolidCal as a Scheduler, reaching out for support, or otherwise interacting with SolidCal content. We may augment this information with publicly available sources and automatically collected telemetry, but we do not rent, buy, or sell personal data and we do not intentionally process special category data under GDPR Article 9.

The personal information we collect may include:

  • Names
  • Email addresses
  • Passwords
  • Contact preferences

When you connect calendars, conferencing apps, or other third-party services, we only query the data required to deliver scheduling functionality. For example, we determine busy status from the calendars you choose and display events back to you in the interface, but we do not persist calendar event details on SolidCal servers. Video conferencing integrations may create meeting rooms on your behalf solely to embed join details in SolidCal events.

If you purchase a paid plan, our payments partner Stripe collects and stores billing details. Please review Stripe’s privacy notice for more information on its practices.

How We Process Information

To facilitate account registration

When you create a SolidCal account, we collect basic profile information and authentication credentials. If you register with Google, Microsoft, Fastmail, or another provider, we may store the identifiers and access tokens they provide so we can authenticate you securely.

To deliver the Services

We use personal data to facilitate scheduling, manage availability, sync with calendars you connect, and respond to your requests as a User, Scheduler, or Viewer.

To manage subscriptions and billing

SolidCal partners with Stripe to process payments. We retain limited billing metadata so we can present invoices, notify you about upcoming charges, and resolve disputes.

To send administrative information

We may email you about important product updates, policy changes, security alerts, or other operational matters.

To enable collaboration features

If you use team functionality or other user-to-user messaging tools, we process relevant profile and communication data so we can deliver those features.

To request feedback and provide support

We process contact details when we solicit feedback, conduct surveys, or assist you via support channels.

To send marketing communications

With appropriate consent, we may send you updates about new capabilities or educational content. You can opt out at any time.

To protect rights, safety, and comply with law

We may process data to prevent fraud or abuse, investigate incidents, safeguard individuals, or satisfy regulatory requirements.

How We Share Information

We may share limited personal data with trusted parties so we can deliver the Services and comply with our obligations. These parties are contractually required to safeguard the information and to use it solely for the tasks we assign.

  • Data processors that help us host, analyze, and support SolidCal products (see the list inside the SolidCal privacy portal).
  • Legal professionals, accountants, auditors, and other advisors bound by confidentiality obligations.
  • IT and security service providers who help us maintain the integrity of the Services.
  • Public authorities or law enforcement when SolidCal is legally required to respond.
  • Prospective buyers or partners in the event of a merger, acquisition, financing, or similar corporate transaction.

SolidCal never sells personal information or discloses it in exchange for monetary or other valuable consideration outside of the usage outlined above. If data must be shared for a new purpose, we will provide notice and an opportunity to opt out where required.

International Transfers

SolidCal’s infrastructure is hosted in the United States. If you access SolidCal from another country, your data may be transferred to, stored in, or processed within the United States or other jurisdictions where our processors operate. When we transfer personal information from the EEA or UK, we implement appropriate safeguards such as the European Commission’s Standard Contractual Clauses and the SolidCal Data Processing Addendum available at https://solidcal.com/dpa.

Your Privacy Rights

Depending on your jurisdiction, you may have the following rights over your personal information. We will honor requests in accordance with applicable law and may need to verify your identity before acting on a request.

  • Request access to, and obtain a copy of, your personal information.
  • Request rectification or erasure of personal information that is inaccurate or no longer needed.
  • Restrict or object to certain processing activities.
  • Request data portability where technically feasible.
  • Lodge a complaint with your local supervisory authority if you believe SolidCal is processing your information unlawfully.

If you have concerns, we encourage you to contact us first so we can work toward a prompt resolution before you reach out to your supervisory authority.

Your Account and Preferences

You can update most profile, scheduling, and billing details directly within your SolidCal dashboard. To request deletion, cancel your account, or ask us to stop using specific information, contact support@solidcal.com. We will respond subject to legal and contractual obligations.

Marketing and Promotional Emails

You may opt out of marketing or promotional communications at any time by using the unsubscribe link within those messages or by contacting us. We may still send transactional or service-related notifications that are necessary to administer your account.

Cookies and Similar Technologies

You can configure your browser to accept all cookies, reject them, or notify you before a cookie is placed. Some cookies are required to authenticate Users or enable specific scheduler flows, so disabling cookies entirely may limit your ability to use the Services. Security Measures

SolidCal maintains reasonable administrative, technical, and physical safeguards designed to protect personal information. Additional details about our security and storage practices are available within the SolidCal Trust & Security Center. Despite our efforts, no system can be guaranteed 100% secure, so data transmissions are at your own risk. Only access SolidCal from trusted, secure environments.

Children’s Privacy

The Services are not directed to children under 18, and we do not knowingly collect personal information from anyone under that age. If we learn that we have collected such information, we will deactivate the account and delete the data. Please contact us if you become aware of a minor using SolidCal without appropriate consent.

Do Not Track

Because there is no universally accepted standard for interpreting Do-Not-Track (DNT) signals, SolidCal does not currently respond to them. If a standard emerges that we must follow, we will update this notice to describe our approach.

Dispute resolution terms applicable to SolidCal are described in our Terms of Use.

Changes to this Notice

We may update this notice periodically. When we make changes, we will adjust the “Last updated” date and, if changes are material, we may provide additional notice through the Services or via email. Continued use of SolidCal after a revision becomes effective signifies acceptance of the updated notice.
